FY 1516 Technology Fee Procedures and OIR Deadlines
To ensure efficiency in your technology fee proposal preparation process, please refer to the UCF Technology Fee (TF) website and UCF Technology Fee Guidelines. Especially useful in planning your TF proposal is the FAQ page.
To best enable project managers to meet the TF proposal deadline, each TF cycle a schedule with deadlines will be established for project requests and walk-throughs for multimedia projects involving OIR.
Project Request (Deadline Friday, June 26)
To initiate a multimedia classroom TF project walk-through with OIR, complete the online OIR Service Request form. Be sure to note in the “Summary of work to be done” field that the request is for a TF project walk-through. After a request is received by OIR, the requester will receive a work order (WO) email acknowledgement and be contacted by an OIR staff member.
Walk-Through (Deadline Friday, July 24)
If the multimedia project requires the involvement of Facilities Improvement (FI), it is the responsibility of the requesting project manager to coordinate walk-through with both FI and OIR present. It is the responsibility of the project manager initiating the service request to make sure the room is available for the scheduled walk-through.
OIR Proposal (Deadline Friday, September 4)
The OIR proposal will include the OIR-related costs for the multimedia project request.
OIR Engineering Request-Closure
Once the project requester sends an email that the OIR proposal is approved and accepted, OIR will close the TF work order. If the OIR project manager does not receive a notice of acceptance, the requester will be notified that the WO will be closed.
After a Project is Awarded by the TF Committee
When the project requester is notified that a project has been awarded by the TF committee, complete a new OIR Service Request form. Be sure to note in the “Summary of Work to be Done” field the TF number and that you have received an award letter with authorization to proceed. After an OIR Service Request is received, the requester will be contacted by an OIR staff member.
